Fertility records are among the most sensitive data a clinic holds
Identity documents, marriage and divorce certificates, donor identities, treatment outcomes. FertilityNXT is built so that access to that data is explicit and scoped by role and branch, and so that clinical accountability is recorded on the work itself.
The controls behind every record
Role-based access control
Every staff account is created with an explicit role — Admin, Media Admin, IVF Lab, USG, Counsellor, Front Desk, Service Manager or Service Provider — which determines the portal they reach and the data it exposes. A media administrator never touches clinical records; a counsellor sees active assessment and treatment lists but not doctor or admin-user management.
Branch-level scoping
Staff accounts carry branch access alongside their role, so a multi-branch chain can give each site operational autonomy while administrators keep the consolidated view.
Formal clinical sign-off
Lab reports carry Done by, Checked by and Referred by on the report itself. Accountability for who performed, checked and referred a piece of work is part of the record, not a separate log.
Mandatory remarks
Cancellations, reschedules and add-time actions require a remark, and a cycle marked as a failure requires a reason — so the record explains itself when it is reviewed months later.
Documented consent and identity
ID proofs, marriage or divorce certificates and consent documentation are attached to the couple or donor record at onboarding, rather than held in a separate filing system.
Separation of duties
The portal model separates configuration from clinical work from patient-facing content, so no single role can quietly change the catalogues, the clinical record and the published patient material.
Controls that match how clinical work is actually signed off
Access control is only half of it. Fertility clinics are also accountable for who performed a procedure, who checked the result and who referred the patient — and that accountability has to survive a review years later. FertilityNXT records it on the work itself.
- Formal sign-off on lab reports: Done by, Checked by, Referred by
- Mandatory remarks on cancellations, reschedules and cycle failures
- Consent and identity documents attached to the couple or donor record at onboarding
- Explicit case states — a couple is proceeding, marked Not Interested, or awaiting a procedure, never left undefined
- Scoped staff accounts so access follows the role and branch a person actually works in
How we talk about compliance
Compliance is a shared responsibility between the software, the infrastructure it runs on and the clinic operating it. Rather than list regulations on a marketing page, we answer your questionnaire directly.
Which certifications the platform and its hosting currently hold, which are in progress, what the hosting and data-residency options are, and which obligations remain yours. Ask us and you get the current position, dated — not a badge.
Send us your security questionnaire
We answer vendor security assessments in full and in writing, including hosting architecture, access model, retention and incident response.
